01  What Vybzz is

An agency that builds the work, not the tool.

Most businesses do not have a technology problem. They have a capacity problem wearing a technology costume. The enquiry that arrived at 9pm on Saturday. The quote nobody followed up. The forty minutes a day spent moving information between two systems that should already talk. The owner doing admin at 11pm because there is no one else to do it.

Vybzz exists to close those gaps with something that behaves like a colleague rather than a tool. We build a Superagent for a specific role, connect it to the systems you already use, teach it your rules and your tone, prove it in a sandbox, run it under your approval, then let it work, and we manage it for as long as it is in post.

We are deliberately not a software vendor. You are not buying a licence and a login and being wished luck. The engagement is the build, the governance and the ongoing management, in one place, under one accountable owner rather than split across three suppliers.

02  What a Superagent is

A chatbot answers a question. A Superagent finishes the job. It is a set of specialist agents, one that understands, one that checks, one that acts, one that writes it all down, scoped to a single role and held to your rules. Here is the shape of every single thing it does.

It reads what arrived, a website message, a WhatsApp, an email, a form, a document, and works out what the person actually wants, not just what they typed.

It looks at your real data: the diary, the CRM record, the price list, the stock, the policy, the last three conversations with that customer.

Six stages. Nothing acts until you’ve watched it work.

Every engagement takes the same route, so you always know what happens next and what you get for it.

01  The Audit

A 90-minute session on how your business runs, then a written report you own with the commercial case for each fix. Five working days.

02  The Build

Built around your processes and connected to your systems, with a dashboard. One to two weeks for a role, three to four for a department.

03  Sandbox

You test it against your awkward customer and your busiest week, in private. Nothing it does here touches the business. About a week.

04  Shadow

Real enquiries, but every reply waits for your sign-off. You correct it; it learns your judgement. One to two weeks, until approving gets boring.

05  Live

It works around the clock. Consequential actions still queue for approval, sensitive ones go to a human, and you get a weekly report. Managed monthly.

06  90-Day Review

06  Control, safety and data

It never has more authority than you gave it.

The most common worry is a reasonable one: what if it says or does the wrong thing to a customer? Everything below exists to answer that.

Approval before authority

In shadow, nothing reaches a customer without your sign-off. Live, anything consequential, a price, a commitment, a refund, still queues for approval.

Escalation, not improvisation

When something is sensitive, unusual or outside its brief, it hands over to a named person with the full context. It is built to say “let me get someone” rather than guess.

A full log of everything

Every message, action and decision is recorded and readable. If something goes wrong you can see exactly what happened, and the rule behind it can be corrected the same day.

Your data stays yours

We build around your existing systems rather than moving your business into ours. Your customer data is not used to train public models, and you can read exactly what is held and where in our privacy notice.

Enterprise-grade foundations

The platforms your Superagent runs on hold certifications such as SOC 2 and ISO 27001. Those are the platforms’ certifications, not ours, we will tell you precisely which providers are in your stack.

An off switch

You can pause it, narrow its remit, or turn it off, and the work returns to how it was handled before. Nothing about the arrangement depends on you being unable to leave.

Every engagement is scoped, then quoted.

Nothing starts without a written scope and a number you have agreed. There are no surprise invoices in this model.

Why scoped work isn’t priced on a page

Because a single role in one business and a full department in another are not the same build, and pretending otherwise means someone is overpaying. The audit produces the scope; the scope produces the price.

08  Who it is for

Any business where enquiries arrive and work gets booked.

Clinics and dental practices, estate and lettings agencies, trades and installers, law and accountancy firms, clinics and salons, agencies, e-commerce, property, hospitality, education, and owner-led businesses where the owner is still the one answering enquiries. What matters is not your industry but whether enquiries, bookings, follow-up and paperwork are eating hours that should be spent on the actual work.

And who it isn’t

This is not the cheapest way to get a chatbot on a website, and if that is what you want, there are good tools that cost twenty pounds a month. It also isn’t right if nobody in the business can spare an hour to test it properly, or if the underlying process is genuinely undefined and there is no appetite to define it, automating chaos only makes faster chaos.

And if the audit finds that AI is not the answer for you, it says so. That is a legitimate outcome, and you keep the report either way.

09  Who you deal with

The people who build it are the people who run it.

Whoever runs your audit builds your Superagent, and answers when you have a question about it eight months later. Nothing about how your business works ends up existing only in a handover note.

The trade-off is honest: we take a limited number of builds each quarter, and we turn down work that isn’t a fit. In exchange, decisions get made in one conversation rather than three, and the person you are talking to can still remember why a rule was written the way it was.

10  Questions

The things people ask before they book.

What if it gets something wrong?

During shadow, nothing reaches a customer unapproved, so mistakes are caught by you before they exist. Live, consequential actions still queue and sensitive ones escalate. Everything is logged, so when something is wrong we can see exactly which rule caused it and fix it that day.

Will it replace my staff?

No, and it is not sold that way. It takes the work nobody wanted: the repeat questions, the diary admin, the chasing, the re-typing. Teams end up doing the parts of the job that need a person, and teams stop needing to take somebody on purely to keep up with the inbox.

What does it connect to?

Calendars, inboxes, CRMs, spreadsheets, booking and practice-management systems, payment providers, WhatsApp and your website. As a rule of thumb, if a system has an API or a reliable export, it can be connected, and the audit confirms it before anything is promised.

Can it take payments?

Yes, deposits, balances and invoices, through your existing payment provider. Card details never sit with the agent; it sends the customer a proper payment link and records the result against the booking.

How quickly can it be live?

The audit report comes within five working days. A single role is typically built in one to two weeks, a full department in three to four, plus roughly two weeks of sandbox and shadow before it works unattended. Most businesses are live inside a month.

We already have a chatbot. How is this different?

A chatbot answers questions from a script. A Superagent checks your live data and then does the thing, books the slot, sends the quote, takes the deposit, updates the record, schedules the follow-up. If your current tool only ever ends with “someone will be in touch”, that is the difference.

Do you use our data to train AI models?

No. Your customer data is used to run your Superagent and nothing else. We build around your systems rather than absorbing your data into ours, and the privacy notice sets out exactly what is held, where, and for how long.

Who owns what you build?

You own your data, your audit report, and the work commissioned for you, as set out in the terms. Underlying platforms remain licensed from their providers, we will always tell you which ones your build depends on.

Do you only work with businesses in one country?

No. We work with businesses of any size, in any market. Superagents work in any language and any time zone, which is often the point, since they cover the hours nobody is at a desk.

I don’t know where to start.

That is exactly what the audit is for, and it is the only thing you need to decide about today. You describe how the business runs; it comes back with where the hours and the money are going, which fixes pay for themselves, and in what order. You own the report whether or not you build anything.

Can we start small?

Yes, and most do. One role, one leak, one automation. The 90-day review then tells you with real numbers whether a second is worth it, rather than asking you to take it on faith.

Will customers know they’re talking to AI?

We are straightforward about it, the agent doesn’t pretend to be a named member of staff, and it hands to a human when asked. In practice customers care far more about getting a correct answer immediately than about who typed it.
