A note on who these measure. The ONS figures cover businesses of every size, including those with fewer than ten staff. The BCG and Deloitte findings come from surveys of senior executives, a thousand and 1,854 of them, and neither reports how large the businesses behind the answers were.

The third finding is the one to hold against us. If satisfactory returns usually take years, then a payback date quoted at a first meeting is a guess, so the audit does not quote one. It commits to something checkable instead: a written report in five working days identifying at least ten hours a week of recoverable value, and if it does not, the fee is refunded in full. Recovering those hours is the job that follows. Foundation goes live in about two weeks, and what it returns is measured monthly from there.

The Vybzz AI Audit

A plain-English review of how work actually moves through your business: where the enquiries go, where the hours go, and where the revenue leaks. The report names the fixes not worth building as well as the ones that are, and it is yours to act on with us or with somebody else. Expect it to spend as much time on your intake process as on any technology, because that is usually where the recoverable hours turn out to be.

The first build

Foundation covers your website and WhatsApp together and is live in about two weeks. Say plainly what your tone of voice is not allowed to do, because that instruction is easier to build to than a description of what it should sound like. Every tier is a build fee plus a monthly one: what we run has to be watched and corrected, and a build nobody maintains degrades quietly rather than breaking loudly.

Run it, and keep improving it

Monitored, refined and reported every month. Watch the queue of things it declined to handle rather than the volume it did handle: the refusals are where the next month of work is, and the totals will look fine either way. Foundation carries no contract at all, so if it stops earning its place you leave at the end of the month. That is deliberate: a retainer that has to be escaped is a retainer that stopped working a while ago.

Sixteen trades, and most of the work comes down to the same three problems wearing different uniforms: enquiries answered too slowly, follow-up that stops too early, and paperwork that eats the week. So the services below are grouped by which of those they fix, not by which technology they use.

We can offer this because the audit is thorough, and because we say no to businesses where the case isn’t there. If the report doesn’t identify it, the fee is refunded in full. The risk of finding out sits with us, not you.

A note on fit

Who this is not for.

Businesses wanting a cheap, off-the-shelf tool. They exist, and some are decent. We build to your business, not to a template, and that takes real work.
Businesses unwilling to share how they work. We can only build around a business we’re allowed to understand. Guesswork produces bad agents.
Businesses expecting magic in week one. It takes a few weeks to settle in. Week one it handles the common enquiries and passes you the rest. It gets better every month it works.

And what this isn’t.

It isn’t a chatbot. An off-the-shelf chatbot answers, after a fashion, but it doesn’t know your business and it can’t book the job. It is not a new starter, either. Nothing goes live until you have tested it against your own awkward scenarios and signed it off, and anything consequential queues for your approval after that. We take a limited number of builds each quarter and turn down work that isn’t a fit.

Will this replace my staff?

No. It removes the work they hate. The chasing, the data entry, the out-of-hours answering. Your people keep the judgement calls, the relationships and the work that needs a human. They just stop drowning.

How much does this cost?

Every build is scoped and quoted at the audit: a build fee plus monthly management, both fixed in writing before you commit. We do not publish a figure, because pricing a business we have not looked at would mean guessing at your expense. The number you approve is the number you pay.

How long until it’s live?

Founder-tier agents are typically live within one to two weeks of the audit. Full department builds take three to four. Nothing goes live until you have tested it against real scenarios and signed it off.

Is my data safe? What about GDPR?

Your business data stays in your systems. We build around them rather than copying everything into ours. Where an AI provider has to process a message in order to answer it, we tell you which provider, in writing, and we configure it so your conversations are not used to train public models. The platforms underneath are SOC 2 and ISO 27001 certified, and those certifications belong to the platforms, not to Vybzz. Vybzz is a UK company and works to UK GDPR and EU GDPR alike. We tell you in writing which providers process what, and where, before anything goes live.

What if it makes a mistake?

Anything consequential sits in an approval queue until you sign it off, and anything sensitive is passed to a human with full context. Every action is logged, so mistakes are caught, corrected and engineered out, which is more than can be said for most inboxes.

Do I need to understand AI?

No, and that is rather the point. You explain your business in plain English and we handle everything technical, permanently. If you can brief a new starter, you can run a Superagent.

Does it answer the phone?

No, and we will not pretend otherwise. Nothing we build answers a call. We work where your customers type: your website, WhatsApp, email, forms and the documents you already keep. If the telephone is genuinely your main problem, we are not the right firm for it, and we would rather say that on the first call than six weeks in.

What does an AI agency actually do?

An AI agency builds and runs the thing, rather than advising you about it. In practice that means mapping how work moves through your business, building the agents that take the repetitive parts of it, connecting them to the systems you already use, and then managing them every month: watching what they get wrong, correcting it, and reporting what they handled. Advice without a build is a consultancy. A build nobody manages degrades quietly.

What is the difference between an AI agency and an AI consultancy?

A consultancy tells you what to do and leaves you the report. An agency does it. Vybzz starts with a report, because building before you know where the hours go is expensive guesswork, but the report is the first step rather than the deliverable. The audit is deliberately useful on its own: you own it, and you can act on it with somebody else.

How do we know AI will actually deliver a return for us?

What kinds of work can realistically be automated?

Work that is repetitive, already written down somewhere, and does not need judgement. Answering the same twenty questions. Qualifying an enquiry against fixed criteria. Booking, confirming and rescheduling. Chasing quotes and invoices. Pulling numbers out of documents and into a system. What does not automate well is anything that needs a decision your business has never had to write down. Those stay with people, and the agent hands them over with the full context.

Do we need our own developers or a data team?

No. If you had one, you would not need us. We build on the systems you already run and connect to them; nothing has to be rebuilt first, and nobody on your side has to write anything. What we do need is a few hours of somebody who genuinely knows how the work happens, which is usually the harder thing to find.

Which AI models do you use?

Whichever suits the job, and we tell you which in writing before anything goes live. Models change every few months, so being tied to one is a liability rather than a feature. What matters more than the model is what surrounds it: your own information, the rules about what the agent may and may not do, and the approval queue that holds anything consequential until you sign it off.

Why do AI projects go wrong?

Rarely for technical reasons. BCG, in a survey of 1,000 executives published in October 2024, put around seventy per cent of the difficulty down to people and process, twenty per cent to technology and ten per cent to the algorithms. Projects fail when nobody agreed what the thing was supposed to do, when it was built around a process nobody had actually mapped, or when it went live and then nobody watched it. That is why the audit comes first, and why every build is managed monthly.
